Request New Online Resources & Software

The process to adopt new online resources/software for student use must be thoughtful. Only software/apps/online resources that are appropriate to meet the instructional goals, are well designed and meet the legal requirements to protect student privacy and data will be approved. Before submitting a request for approval of a new Online Resource/Software, staff should consider the following:

  • Has the District already vetted and approved a similar Online Resource/Software? If so, staff should use the already approved tool.
  • What’s the impact that this new Online Resource/Software will have on instruction and student learning? Does it work across content areas and grades? Is it engaging? Does it have strong relevance to the curriculum and instructional goals?
  • Has the Online Resource/Software been tested? It's important for the teacher to fully understand the student experience when using the tool to ensure that it works and is appropriate for the age group. Teachers should be aware of any personal information that might be requested if a student account is required to login.
  • Staff should speak with the ITTL in their building before using ANY new Online Resource/Software with students and seek their assistance with the evaluation/vetting process. This includes any online tool that a student interacts with where they may be creating content and/or any site that requires any student login.
  • Determine if there is funding in the budget for the cost of the program.  If not, discuss with the building principal to see if funding is available in the future.

Once all the above has been considered, a request for approval of new Online Resource/Software can be submitted.

To request new software, extension, or online resource, please follow these steps:

  1. Go to monomoy.incidentiq.com.
  2. Select "New Ticket > Other Requests > Approval Request for New Software."
  3. Complete the form fully.

Your request will then go through our approval process and you will receive updates and communication inside your help desk ticket.

The Approval Process

Goals for Approving Online Resources and Software:

  1. Ensure we are consistently protecting our students’ data in order to avoid actual harm to students and potential harm to the district
  2. To make responsible use of our budgetary resources by avoiding unnecessary duplication of digital resources.
  3. Ensure that our online resources align with and support best practices for high-quality instruction and learning 
  4. Maintain compliance with district policies and procedures pertaining to curriculum adoption, as well as federal laws (FERPA, COPPA, CIPA, PPR, HIPAA)

Vetting Process:

  1. Curriculum Review: Department of Curriculum, Instruction, and Assessment or the Department of Student Services will meet with the ITTL team 3 times per year to review the resource for compliance with district curriculum adoption policies and alignment with best practices for high-quality instruction and learning.
  2. Privacy Review: The Technology Department and Data, Compliance, and Assessment Specialist reviews the resource's privacy policy and ensure data protection. They pursue signed Data Privacy Agreements (DPAs) with vendors if student data is shared defined by federal laws. They also ensure that rostering, student log-ons, configuration, archiving and other tasks are achievable.
  3. Technical Review: The Technology Department reviews the tool to determine the if the system requirements for a tool meet our standards and work within our network systems.
  4. Budget Review:  If a program is approved in steps 1-3, the principal will determine if funding is available.

Notification of Approval

After the review, you will be notified of the approval status in your ticket. We will also communicate with you inside the ticket if we need any additional information for rostering, configuration, installation, or other tasks. Feel free to ask any questions within the ticket as well.
