Student Data Privacy
Student Data Privacy
All Monomoy Regional School District (MRSD) staff members must ensure the safety and security of student information.
You are required to:
- Only use district-approved websites, online resources, apps, and software.
- Ensure student data is never shared or accessed by unauthorized individuals.
- Follow federal, state, and district policies regarding student data privacy.
- All "official Monomoy" social media accounts must be requested through the district's request process; please refrain from creating one independently.
Protecting student data is everyone's responsibility. Any website, app, online resource, or software that requires account creation, uses district credentials, or collects student data must be approved by MRSD to ensure it meets privacy standards and legal requirements.
Our goal is to balance high-quality instruction with privacy protections, complying with federal and state laws, school policies, and community expectations. By safeguarding student information, we maintain trust and secure a safe learning environment.
Why Privacy Matters
As technology enhances learning through personalized instruction, it’s crucial to protect student data from unauthorized access and misuse. Several federal and state laws guide our efforts to keep student information secure. These laws and regulations protect student data by ensuring it is private, secure, and managed responsibly and guide how digital resources are vetted to ensure compliance and security.:
- Family Educational Rights and Privacy Act (FERPA): Protects the privacy of student education records.
- Children’s Online Privacy Protection Act (COPPA): Governs online collection of data from children under 13.
- Children's Internet Protection Act (CIPA): Requires schools to block harmful online content for students.
- Protections of Pupil Rights Amendment (PPRA): Limits surveys, analysis, or evaluations that collect sensitive information from students.
- Health Insurance Portability and Accountability Act (HIPAA): Ensures the privacy of health information.
- Massachusetts Public Records Law: Governs retention, disclosure, and archiving of public records, including digital communications.
Approved Online Resources & Software
Approved Online Resources & Software
Monomoy Regional School District uses the Student Data Privacy Consortium to inventory and certify the ability of application vendors to meet the stringent data governance requirements of Massachusetts law. This vetting process ensures that the software we use aligns with our business responsibilities and academic mission.
You can find our vetted online resource and software inventory here: MRSD Approved Online Resources & Software
Request New Online Resources & Software
Request New Online Resources & Software
The process to adopt new online resources/software for student use must be thoughtful. Only software/apps/online resources that are appropriate to meet the instructional goals, are well designed and meet the legal requirements to protect student privacy and data will be approved. Before submitting a request for approval of a new Online Resource/Software, staff should consider the following:
- Has the District already vetted and approved a similar Online Resource/Software? If so, staff should use the already approved tool.
- What’s the impact that this new Online Resource/Software will have on instruction and student learning? Does it work across content areas and grades? Is it engaging? Does it have strong relevance to the curriculum and instructional goals?
- Has the Online Resource/Software been tested? It's important for the teacher to fully understand the student experience when using the tool to ensure that it works and is appropriate for the age group. Teachers should be aware of any personal information that might be requested if a student account is required to login.
- Staff should speak with the ITTL in their building before using ANY new Online Resource/Software with students and seek their assistance with the evaluation/vetting process. This includes any online tool that a student interacts with where they may be creating content and/or any site that requires any student login.
- Determine if there is funding in the budget for the cost of the program. If not, discuss with the building principal to see if funding is available in the future.
Once all the above has been considered, a request for approval of new Online Resource/Software can be submitted.
To request new software, extension, or online resource, please follow these steps:
- Go to monomoy.incidentiq.com.
- Select "New Ticket > Other Requests > Approval Request for New Software."
- Complete the form fully.
Your request will then go through our approval process and you will receive updates and communication inside your help desk ticket.
The Approval Process
Goals for Approving Online Resources and Software:
- Ensure we are consistently protecting our students’ data in order to avoid actual harm to students and potential harm to the district
- To make responsible use of our budgetary resources by avoiding unnecessary duplication of digital resources.
- Ensure that our online resources align with and support best practices for high-quality instruction and learning
- Maintain compliance with district policies and procedures pertaining to curriculum adoption, as well as federal laws (FERPA, COPPA, CIPA, PPR, HIPAA)
Vetting Process:
- Curriculum Review: Department of Curriculum, Instruction, and Assessment or the Department of Student Services will meet with the ITTL team 3 times per year to review the resource for compliance with district curriculum adoption policies and alignment with best practices for high-quality instruction and learning.
- Privacy Review: The Technology Department and Data, Compliance, and Assessment Specialist reviews the resource's privacy policy and ensure data protection. They pursue signed Data Privacy Agreements (DPAs) with vendors if student data is shared defined by federal laws. They also ensure that rostering, student log-ons, configuration, archiving and other tasks are achievable.
- Technical Review: The Technology Department reviews the tool to determine the if the system requirements for a tool meet our standards and work within our network systems.
- Budget Review: If a program is approved in steps 1-3, the principal will determine if funding is available.
Notification of Approval
After the review, you will be notified of the approval status in your ticket. We will also communicate with you inside the ticket if we need any additional information for rostering, configuration, installation, or other tasks. Feel free to ask any questions within the ticket as well.
Social Media & Communication
For all questions regarding social media and communications, please refer to the Monomoy Regional School District Communications Handbook. It provides detailed guidelines and best practices for effective and compliant communication. If you have additional questions or need further assistance, please reach out to Joy Jordan, our district's Community Engagement Coordinator.

Two-Factor Authentication (2FA)
Two-Factor Authentication (2FA)
MRSD requires that your Monomoy Google account enroll in a 2-step verification security measure. This means that, when signing into a new device, you will be required to (1) enter your password and (2) verify your identity using another device or a backup code. Use the links below to find out how to enable this on your own account and understand why we are employing this security measure.

Understanding Two-Factor Authentication (2FA)
Two-Factor Authentication 2FA (also known as 2-Step Verification 2SV or Multi-Factor Authentication MFA) puts an extra barrier between our schools and cybercriminals who try to steal usernames and passwords to access school data or your personal information. If you use online banking, you probably already have some experience with this technology.

Canva for Education
Canva is a versatile digital design platform that's both professional and easy to use. It's great for teaching students design skills that they can apply in the future. Canva works well for art, design, technology, geography, history, English, and more.
Canva is crammed full of features but many are education-specific. Before getting into that, it's worth noting that Canva auto-saves. This is a great feature both for teachers and students as it means never worrying about losing work – something Google's ecosystem of tools has got many people used to.
While the templates are fantastic to make any presentation, poster, or image have more impact, there are powerful sub-tools. The graph templates, for example, are a great way to help in math and science classes – allowing for specific results to be displayed in a clear visual and engaging way.
Canva is optimized for Chromebooks so even the most intensive image-based projects can be handled on most machines, with smooth interaction.
Guides
Canva as a Jamboard alternative!
Canva is a great alternative to Jamboard because, like Jamboard, it allows real-time collaboration and brainstorming. Both tools let students and teachers work together on digital whiteboards, but Canva offers more customizable templates and design elements. Canva also connects easily with Google Classroom and provides extra tools for creating presentations and infographics, making it a more versatile option for visual projects and interactive learning.
Canva as a Flip alternative!
Canva can be a great alternative to Flip, especially for creative projects with a focus on visual content. Canva for Education includes a built-in video recorder, allowing students to easily create videos with audio and animations. Teachers can share templates for recording or let students start from scratch. While Flip focuses on video discussions, Canva offers more flexibility by enabling collaboration on presentations, infographics, and posters. It also integrates with Google Classroom for seamless project sharing. Both tools promote student engagement and creativity.

Have students create learning portfolios so they can see how they're progressing throughout the year -- this can also be a valuable revision and review tool.
Collaborate
With up to 10 members in a project, have groups of students work together, in class and digitally from home, to create a finished body of work.
Chart graphics
Ideal for math and science, Canva can be used to display data in rich charts and graphs to make presenting experiments, and more, visually engaging.
